Registration Fee

The conference registration fee is paid through the conference system. The conference committees & staff team will NOT ask for your credit card information for booking rooms or air tickets. Please take care to protect your financial and private information.

Payment Methods

Online credit card and wire transfer are both acceptable payment methods.

Accommodation

Accommodation is not included in the registration fee. Delegates need to reserve rooms on their own, and we advise you to book as early as possible.

Important: The conference staff will never request your personal card information for booking services. Please do not trust anyone who claims to provide such services on behalf of the conference.

Refund Policy

If participants request cancellation and refund due to personal reasons, the following refund policy applies:

  • 60 days prior to the conference: 80% refund of the total payment
  • 30-60 days prior to the conference: 40% refund of the total payment
  • Within 30 days prior to the conference: No refund

All cancellation and refund requests must be submitted formally via email.

Safety Tips

  • Please take good care of your personal belongings during the conference. The organizer is NOT responsible for any loss of personal property.
  • Always wear your conference badge at all times. Access to conference venues will not be granted without a valid badge.
  • Property Safety: For the safety of your own property and others, please avoid bringing valuables. If you must bring valuables, please keep them secure at all times. The conference organizer shall not be liable for any loss of personal property. Thank you for your cooperation.
  • Accommodation: Accommodation is not included in the registration fee. Delegates need to reserve rooms independently, and we recommend booking early. You may choose to reserve rooms at the conference hotel or other nearby accommodations at your discretion.

Registration Procedure

  1. Complete the Payment: Payment can be made by credit card or bank transfer. The payment link and bank account information are available via the registration link indicated in the notification letter. When completing registration, please upload the final version of your paper and proof of payment to the online system.
  2. Payment Confirmation (Email Only): You will receive a confirmation email from the conference secretariat once your payment is verified.
  3. Official Receipt: The official receipt for your registration fee will be available for collection at the on-site registration desk.

Registration Requirements

  1. Upon full completion of registration and payment, each participant will receive a confirmation email from the conference secretariat.
  2. At least one author listed on an accepted paper must complete and pay for registration by the specified registration deadline.
  3. Student Registration: To qualify for the student registration rate, the applicant must submit:
    • A scanned copy of a valid student ID card; OR
    • A verification letter from the department head or supervisor confirming full-time student status, clearly stating the current academic year.
    Postdoctoral fellows are not eligible for student registration rates. Additionally, the student must be the First Author of the submitted paper.
  4. For papers with multiple authors, all authors attending the conference must complete individual registration.
  5. Please upload the required documents to complete registration: ① Final paper (PDF format); ② Proof of payment.
  6. Paper formatting templates (Microsoft Word): A4 or US letter size are acceptable. Only PDF files will be accepted for the review process, and all submissions must be made through the Zmeeting conference system.

Delegate Registration (Non-Presenting)

No article submission is required for delegates who only wish to attend the conference (without presenting a paper). You may complete registration directly – the process is simple and quick.

Camera-ready Guidelines for Authors

  1. Carefully verify all submission information in the Camera Ready system. This information will be used to automatically generate the proceedings table of contents, author index, abstract book, and the final conference program.
  2. To complete the registration process, you must upload a zip file to the conference secretariat containing:
    • Formatted final paper (PDF format)
    • Proof of registration fee payment
    • Completed registration form
    • Official letter from the student's institution (on college/university letterhead) confirming degree-seeking status (only required for student rate registrations)

* The organizing committee reserves the right to modify the conference dates and venue due to force majeure events.
* The organizing committee shall not be liable for any losses incurred due to force majeure, and the refund policy shall not apply in such circumstances.
